Terms and Conditions of Room Hire

Prices
Prices are reviewed annually on the 1st January.  All bookings after this date will be charged at the new rate.

Bookings
All provisional bookings must be confirmed by completion of a booking form within 7 days. If no booking form is received the Learning Partnership reserves the right to re hire the facility.

Any equipment required for the booking must be booked at least 7 days in advance to ensure availability.

Final number of delegates must be confirmed not less than 7 days prior to the event.  Special dietary requirements should also be advised at this time.

Numbers confirmed at this time must be paid for even if subsequently cancelled.

All catering and refreshments will be supplied by the Learning Partnership.

Payment
All invoices are due for payment within 30 days of the invoice date. Payment may be in the form of a cheque made payable to the Learning Partnership or by BACs (details on invoice).

Cancellation by the client
Any cancellation must be in writing. This applies to all bookings that have been confirmed.

In the event of a cancellation the following scale of charges will apply:-

  • Less than 1 week before the event          100%
  • Less than 2 weeks before the event        75%
  • Less than 4 weeks before the event        50%

Minimum Hire
Minimum hire charges of 3 hours

Changes/Cancellation by the Learning Partnership
In the event that the Learning Partnership is unable to fulfil the booking for a client due to circumstances beyond our control, the Learning Partnership will advise the client on alternative venues.  The Learning Partnership reserves the right to cancel any booking due to misuse of facilities on the part of any client, delegate or guest.  In this case the Learning Partnership will not be liable for the payment of any compensation to the hirer or any other person.

Parking
Parking available on the estate along the road outside the building.

Health and Safety
The Learning Partnership has public liability insurance.  The Learning Partnership does not accept responsibility for loss or damage to property or vehicles of any client, delegate or visitor to the Learning Partnership.

The health and safety of all visitors to the Learning Partnership is of paramount importance and as such we ask that all clients, delegates and guests comply with Health and Safety legislation and other licensing and appropriate statutory regulations.

Data Protection
All data concerning bookings will be treated in accordance with the requirements of the Data Protection Act 1998.

SMARTBoard
Normal marker pens MUST NOT be used on the SMARTBoard, if the SMARTBoard is damaged in any way costs will be incurred by the hirer.
